Booking Policy

Unless solicited, all proposals must be submitted through the applications listed above. All applicants selected will be offered an interview, and those not selected will receive a courtesy call.

  • Guests

Each individual performer in a group will receive one additional guest. However, only talent of the event will be permitted in the greenroom for security purposes, unless they are support staff like hair and makeup artists, stage kittens, or technicians. All guests of performers MUST be in appropriate dress code or they will be denied entry.

  • Hotels & Transportation

Generally, we are not responsible for accommodations and transportation for any acts but headliners, due to our limited budget. We will, however, negotiate a performance fee.

  • Promotions

All performers are expected to promote at least 60 days before the event through all possible means. This includes inviting your entire friends list on Facebook to the official event page, posting on social media, sending out emails, posting on forums, etc. Those performers who do not contribute to promotions may risk losing their booking, or a reduction in pay, as we consider this event a collective effort.

Talent

  • DJs

All DJs must submit through our DJ application, and are required to include a mix that showcases both your transition skills and song selections, a description of yourself, a listing of your past experience, as well as any current DJ residencies or projects you are involved in.

When it comes to music, The Arcane Vampire Ball’s primary audience are individuals who are part of the Gothic Subculture, the Vampire Lifestyle, other alternative scenes, and we have also seen individuals who are part of costume subcultures like the Cosplay community attend our event. Please be prepared to mix for an eclectic crowd.

  • Performance Artists

We welcome all kinds of performing arts to our event. All proposals must be submitted through our performer application. Please acknowledge the performance requirements below:

    • Set length: All performances should last no more than 5 to 7 minutes. Long shows can wind down the energy of the event, while also loosing the attention of the audience.

    • Aerial: We welcome all kinds of aerial acrobatics like trapeze, silks, hoops, and more!

    • Blood: For the health and safety of everyone present, all blood used must be fake/theatrical.

    • Burlesque: All burlesque performances at the ball must be classy and tasteful. A strip tease performance that coincides with the event’s theme is a plus, as well as performances that are elegant and refined.

    • Dance Shows: We love dance choreography, cabaret, belly dancing, and ballet. Again, these performances must also be classy and tasteful.

    • Fire: Due to the Church Nightclub’s historical and delicate infrastructure, fire is not permitted inside the building. We do, however, offer the opportunity for fire performances at our pre-party events, provided that the venues will allow it. All performers must have proper insurance, a venue certificate, an appointed safety monitor, and will need to meet all fire codes.

    • Theme: Performances are expected to be in the theme of the vampire ball.

  • Bands

Due to The Church’s infrastructure and nature of the event, bands are not generally considered. The Church itself is built as a dance hall and not a concert hall.

However, since The Arcane Vampire Ball is a full weekend experience, we do welcome the possibility of a band performing at a pre-party, provided that the choice of venue will have a stage suitable for a live performance.

If you are a musician or a band with interest in performing for one of our pre-parties, please feel free to submit through our performance application.

Vendors

Every year we host a vendor hall in the Wine Room, located in the south wing of The Church. If you wish to be a vendor for the vampire ball, please submit an application through our Vendor webform.

We welcome artists, craftsmen, jewelers, fashion designers, and more. However, please be aware that we only accept vendors that we feel are appropriate for the crowd who will be in attendance at the event itself. After all, we want to make sure that you are within a crowd who will have interest in your type of merchandise.
